Position Description

The Coordinated Entry Receptionist is the first point of contact at the Welcome Center in St. Patrick Center (SPC) and will professionally greet and direct clients and visitors. The receptionist will answer/direct incoming phone calls to the Welcome Center and will be required to become trained and proficient to assist in other job duties assigned to the Program Support Services Department.

RESPONSIBILITIES
• Assist guests, volunteers and staff members with exceptional care
• Treat clients and potential clients of SPC and their partners with dignity and respect
• Ensure that clients are properly screened at client window
• New SPC clients are placed on the central intake sign-in sheet indicating specified program if client announces it
• Returning SPC clients will be placed on the appropriate program sign-in sheet
• Monitor front lobby and entrance area
• Notify counselors and/or Partnership agencies of client arrival and document time
• Monitor client lobby and ensure that all clients have been serviced and are following the lobby rules and guidelines
• All calls should be answered within 5 rings
• All calls should be answered with a courteous tone and greeted with “Good morning St. Patrick Center - how may I help you?”
• Callers requesting detailed information about programs/services should be transferred to appropriate department in order to keep the lines free
• Callers wishing to leave a message for SPC staff are transferred to staff voicemail
• Call and overhead staff members as needed to inform of client(s) present
• Inform staff already in intake/conference room area of client arrival
• When not present, call staff on telephone
• When not at phone, overhead page staff, at all times in a courteous and calm voice in order to project a professional image of SPC
• When paging staff, repeat the message twice (ex. “John Smith call the Welcome Center, John Smith please call the Welcome Center”)
• Enter data in computer (ex. Excel spread sheets) as needed
• Keep area neat and clean
• Other duties as assigned

KNOWLEDGE AND EXPERIENCE REQUIRED
• High School education or equivalent
• Customer service experience required
• Experience working with the mentally ill, substance abusing and impoverished populations preferred
