Position Description

The Philanthropy Specialist reports to the Senior Director of Philanthropy and is responsible for providing administrative support to the Philanthropy department at St. Patrick Center (SPC). The Specialist will support the Senior Director of Philanthropy’s work with Major Donors, Board of Directors, the Development and Governance Committees. Maintains calendars, filing and organization of philanthropy & communication office. Supports Philanthropy team with administrative support, project management and ensures department metrics are met and goals successfully achieved.

• Coordinates major gifts program (generate and filing solicitations and providing campaign financial reports)
• Responsible for inputting NXT activity of Sr. Director and CEO
• Responsible for maintaining department’s expenses, invoices, expense budget binders and Sr. Director’s Fiscal Year Finance Reports binder
• Responsible for coordinating and organizing the administrative elements and details of major projects in Philanthropy department
• Coordinates and arranges meetings and organizes Sr. Director’s schedule
• Maintains key documentation and coordinating filing for Sr. Director’s special files and supports Sr. Manager of Development Operations in all department record keeping
• Generates reports using Excel and other software
• Prepares Power Point presentations for Development department
• Answers telephone, cognizant of special handling of donor, board and committee member calls; take messages and responds to inquiries in absence of Sr. Director
• Performs a range of staff and/or operational support activities; may serve as a liaison with other departments on basic administrative and/or operational matters
• Sorts, screens, and distributes incoming and outgoing mail, drafts or prepares responses to routine inquiries and operates a variety of office equipment
• Prepare department communications calendar under direction of Communication Manager
• Provide administrative support to communication and marketing priorities:
• Draft or prepare media reports
• Drafts or prepares stories to be used in SPC marketing, donor stewardship and other materials
• Makes website updates as needed
• Creates and supports internal communication needs such as flyers, signs, etc.
• Works with members of the Development Team to support fundraising activities as needed
• Is knowledgeable about agency programs and department’s campaigns to answer questions
• Other duties as assigned


• Bachelor’s degree preferred
• One or more years’ experience in non-profit fundraising or customer services in a support services role
• Strong computer literacy required, demonstrated proficiency with Microsoft products and Raisers Edge NXT
• Strong communication and time-management skills
• Able to work independently and be responsible for professional deadlines
• Strong team member, working well with staff, volunteers and other professionals
